
Requirements for ABA Services:
Completed Intake Documents (see below). Available slots for therapy are allocated in the order that all required documentation has been received.
An order/prescription/ recommendation for ABA therapy from a physician, psychologist, or other qualified medical professional.
A current diagnosis for Autism (F84.0)***
Pre-approval from insurance for an initial assessment and ongoing approval from insurance every 6 months to continue therapy.
Regularly scheduled meetings for Caregiver Training (frequency to be determined by Behavior Analyst based on need and intensity of child behaviors with a minimum of once monthly).
Adherence to the attendance policy (outlined in the Service Agreement document) and continued caregiver participation in therapy.
*** Contact us regarding therapy for other diagnoses such as Intellectual Developmental Disorder (F70), Oppositional Defiant Disorder (F91.3), ADHD (F90.0, F90.2), or other disorders of psychological development (F88).
Intake Process
Initiation of ABA services can be a lengthy process. On average, it can take 3-6 months to start therapy from the date of initial contact. Delays in receiving required documentation, insurance approvals, and scheduling of assessments, timeliness in responding to contact, limited hours of availability for receiving therapy, and staff availability all impact the amount of time the process takes.
Here are some examples of the intake process based on method of first contact:
LME/MCO Contact:
1. Initial contact and referral is made by a Local Management Entity or Managed Care Organization.
2. Nurtured Roots ABA staff reaches out to verify interest in ABA therapy.
3. LME/MCO personnel provides most related medical and behavioral documentation (e.g., psych. evaluations, HRA, IEP). Any additional documentation is acquired by caregiver(s) or a Release of Information Agreement is submitted to Nurtured Roots ABA so that staff can request medical records on your behalf.
Referral:
1. Initial contact is through a referral for ABA services from a psychologist, physician, or other qualified professional.
2. Nurtured Roots ABA staff reaches out to verify interest in ABA therapy and to gather information about the child’s needs.
3. Caregiver(s) submit all documents required by insurance to Nurtured Roots ABA (e.g., diagnostic report, psychological evaluation, IEP, copies of insurance card, etc.) or a Release of Information Agreement is submitted to Nurtured Roots ABA so that staff can request medical records on your behalf.
Caregiver Contact:
1. Initial contact is through a referral for ABA services from you by phone, email, or submission of the Contact Us form on the website.
2. Nurtured Roots ABA staff reaches out to verify insurance provider and to gather information about the child’s needs.
3. Caregiver(s) submit all documents required by insurance to Nurtured Roots ABA (e.g., diagnostic report, psychological evaluation, IEP, copies of insurance card, etc.) or a Release of Information Agreement is submitted to Nurtured Roots ABA so that staff can request medical records on your behalf.
THEN
4. At a minimum, the Service Agreements & General Info packet has been received by Nurtured Roots ABA.
5. An authorization for the initial assessment is submitted to insurance and approval/denial can take between 1-3 weeks.
6. The Background & Behaviors packet is completed and received by Nurtured Roots ABA.
7. The initial assessment is scheduled and completed on the scheduled day/time. Initial assessments can be 1-3 hours.
8. The Initial Treatment Plan is created within 1-3 weeks.
9. The Treatment Plan is reviewed, signed, and returned to Nurtured Roots ABA by caregiver(s).
10. The Treatment Plan is submitted to insurance and approval/denial can take between 4-8 weeks.
11. The therapy schedule is confirmed by both parties and therapy begins!
