Requirements for ABA Services:

  1. Completed Intake Documents. Available slots for therapy are allocated in the order that all required documentation has been received.

  2. A Service Order for ABA therapy from a physician (DO or MD) or psychologist (LP) every 12 months.

  3. Documentation of a diagnostic assessment and current diagnosis of Autism Spectrum Disorder(F84.0)*.

  4. Pre-approval from insurance for an initial assessment and ongoing approval from insurance every 6 months to continue therapy.

  5. Regularly scheduled meetings for Caregiver Training (frequency to be determined by Behavior Analyst based on need and intensity of child behaviors with a minimum of once monthly).

  6. Adherence to the attendance policy (outlined in the Service Agreement document) and continued caregiver participation in therapy.

Intake Process

Initiation of ABA services can be a lengthy process.

On average, it can take 3-6 months to start therapy from the date of an available opening. Delays in receiving required documentation, insurance approvals, and scheduling of assessments, timeliness in responding to contact, limited hours of availability for receiving therapy, and staff availability all impact the amount of time the process takes.

Here are some examples of the intake process based on method of first contact:

LME/MCO Contact:

1. Initial contact and referral is made by a Local Management Entity or Managed Care Organization (e.g., Vaya Health).

2. Nurtured Roots ABA staff reaches out to verify interest in ABA therapy.

3. LME/MCO personnel may provide many of the required medical documents. Caregivers must complete the intake packets. Any additional documentation is acquired by caregiver(s).

Service Order:

1. Initial contact is through a Service Order for ABA services from a psychologist or physician.

2. Caregiver contacts Nurtured Roots ABA or staff reaches out to verify interest in ABA therapy and to gather information about the child’s needs.

3. Caregiver(s) complete intake packets and submit all documents required by insurance to Nurtured Roots ABA (e.g., diagnostic report, IEP, copy of insurance card, etc.).

Caregiver Contact:

1. Initial contact is through a referral for ABA services from you by phone, email, or submission of the Contact Us form on the website.

2. Caregiver(s) complete intake packets and submit all documents required by insurance to Nurtured Roots ABA (e.g., diagnostic report, psychological evaluation, IEP, copies of insurance card, etc.).

THEN

4. After all required documentation has been received by Nurtured Roots ABA, an authorization for the initial assessment is submitted to insurance. The approval/denial can take between 1-3 weeks.

5. Upon approval for the assessment from insurance, the initial assessment is scheduled and completed on a scheduled day/time. Initial assessments can be 1-3 hours.

6. The Initial Treatment Plan is created within 1-3 weeks.

7. The Treatment Plan is reviewed, signed, and returned to Nurtured Roots ABA by caregiver(s).

8. The Treatment Plan is submitted to insurance. The approval/denial can take between 4-8 weeks.

9. Upon insurance approval of ABA services, the therapy schedule is confirmed by both parties and therapy will begin on the agreed upon date/time.
